About the Role

We are seeking a highly motivated Part-Time Administrative Assistant to provide essential support to our Senior Leadership Team. This role involves managing administrative functions, coordinating meetings and events, handling communication, and assisting with various projects. While primarily an on-site position, some remote work may be available. The role requires approximately 3-4 hours per day, 4 days per week.

What You'll Do

Provide administrative support to senior executives, ensuring smooth day-to-day operations.

Plan, coordinate, and support internal and external meetings and events, including scheduling, agenda preparation, note-taking, and follow-ups.

Manage executives' email inboxes, ensuring timely responses and organization.

Keep track of important deadlines and assist in managing projects.

Prepare presentations and coordinate documents for meetings.

Act as a liaison for IT needs, including ordering equipment and coordinating technical support.

Handle scheduling, calendar management, and appointment coordination.

Assist with purchasing, travel authorizations, and reimbursements.

Support various departments, including accounting, shipping, and spare parts, as needed.

Maintain records and filing systems, ensuring compliance with retention policies.

Provide occasional backup support for the front desk or shipping team.

Perform other administrative duties as assigned.

What We're Looking For

Previous experience as an administrative assistant or in a similar role.

Strong understanding of office management systems and procedures.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to handle sensitive information with discretion and maintain confidentiality.

Excellent time management, multitasking, and problem-solving skills.

Strong attention to detail and the ability to work independently.

Effective written and verbal communication skills.

Ability to build positive relationships with colleagues, vendors, and external partners.

Comfortable working in a fast-paced environment with frequent interruptions.

Reliable, punctual, and committed to high-quality work.

Must pass a background check and drug screening.

Physical Requirements

Prolonged periods of sitting and working on a computer.

Ability to lift up to 15 pounds as needed.
