The Health System and Office Manager at Royal Palm Beach Medical Group is a key leadership role responsible for overseeing day-to-day operations, managing staff, enhancing patient relations, and driving the growth of the practice. The ideal candidate will focus on improving operational efficiency, maximizing revenue, implementing innovative technologies, and delivering exceptional patient care. This role requires a dynamic leader with experience in healthcare administration, staff management, and customer relations, along with a strong understanding of healthcare marketing, AI, and practice growth strategies.

Key Responsibilities:

  • Office Operations Management:
    • Oversee all aspects of daily office operations, including scheduling, workflow optimization, and resource allocation.
    • Ensure a clean, organized, and professional work environment.
    • Manage office supplies, equipment maintenance, and vendor relationships.
    • Implement and monitor office policies, procedures, and best practices to enhance efficiency and compliance.
  • Staff Leadership and Development:
    • Lead, motivate, and develop a multidisciplinary team, including medical assistants, administrative staff, and front desk personnel.
    • Provide training and mentorship to improve staff performance and patient care standards.
    • Schedule and coordinate staff coverage, including filling in for medical assistants when necessary.
    • Conduct regular performance evaluations and feedback sessions.
  • Patient Relations and Customer Experience:
    • Manage patient feedback and resolve complaints professionally and effectively.
    • Implement strategies to improve patient retention and satisfaction.
  • Financial and Revenue Growth Management:
    • Monitor financial performance, including billing, collections, and insurance reimbursement.
    • Identify opportunities for practice growth, including adding new services, partnerships, and patient outreach.
    • Collect and process patient payments, including co-pays and outstanding balances.
  • Healthcare Technology and Innovation:
    • Implement and optimize AI tools for patient management, scheduling, and customer engagement.
    • Utilize healthcare informatics to improve patient outcomes and operational efficiency
  • Insurance Verification and Billing:
    • Verify patient insurance coverage and eligibility prior to appointments.
    • Assist with medical billing, claims submissions, and reimbursement processes.
    • Maintain accurate patient financial records and resolve billing discrepancies.
  • Phlebotomy and Clinical Support:
    • Perform phlebotomy as needed, including blood draws and sample collection.
    • Assist clinical staff during high patient volume or staff shortages.
  • Specialized Program Oversight:
    • Oversee Chronic Care Management (CCM) programs to improve patient outcomes and reduce hospital readmissions.
    • Coordinate and oversee Immigration Physical services, ensuring compliance with USCIS requirements.
    • Track and improve key performance indicators (KPIs) for Medicare patients, including Annual Wellness Visits (AWVs), preventive care, and patient satisfaction.
  • Marketing and Practice Growth:
    • Develop and execute marketing plans to attract new patients and retain existing ones.
    • Manage digital marketing campaigns, including social media, SEO, and community outreach.
    • Collaborate with marketing teams to create content and promotional materials.
  • Compliance and Quality Assurance:
  • Oversee credentialing, insurance contracts, and quality improvement programs.
  • Conduct regular audits to ensure clinical and administrative processes meet quality standards.
  • Skills and Qualifications:
    • Bachelor’s degree in Healthcare Administration, Business Management, or related field (Master’s preferred).
    • Minimum of 3-5 years of experience in healthcare office management or medical practice administration.
    • Knowledge of phlebotomy, medical billing, insurance verification, and revenue cycle management.
    • Proficiency with healthcare software, EHR systems, and AI tools.
    • Marketing and business development experience preferred.
    • Bilingual in English and another language (preferred)
    • Ability to work in a fast-paced, dynamic healthcare environment.
