Job Description

Executive Assistant

Our client, a leading organization in the insurance industry, is seeking a highly organized and proactive administrative professional to support an investment team focused on the Industrials, Consumer, Entertainment, Defense and Aerospace, Telecom, Technology, and Transportation (ICED-T) sectors.

This position is a backfill role due to a team member's departure and presents a strong opportunity for permanent placement based on performance. The ideal candidate will be detail-oriented, capable of multitasking, and comfortable working in a fast-paced environment.

What is in it for you:

• Hourly rate: $26 to $31, depending on experience.

• 4-month contract.

• Full-time position: 40 hours per week.

• Work Schedule: 9 am to 5 pm.

• Hybrid role: In-office Monday to Wednesday.

Responsibilities:

• Administrative Support (25%): Organize and distribute documents, reports, and correspondence; coordinate contract signatures with the legal department; manage electronic and physical filing systems.

• Scheduling & Coordination (20%): Arrange meetings, book conference rooms, track team attendance and vacation schedules, and update calendars.

• Travel & Expenses (20%): Arrange travel reservations and prepare expense reports for reimbursement.

• Project & Report Management (20%): Compile and track team reports, including approval memos and investment reviews; manage work product deadlines and prepare progress reports for leadership.

• Presentation & Special Projects (10%): Prepare PowerPoint presentations and support ad-hoc projects as needed.

• Communication & Client Interaction (5%): Cover team phones, coordinate meeting arrangements with clients, and relay messages to team members.

What you will need to succeed:

• Bachelor’s or Associate’s degree preferred, or equivalent work experience.

• 1 to 3 years of relevant administrative experience.

• Strong proficiency in Microsoft Office, including PowerPoint.

• Excellent organizational, communication, and multitasking skills.

• Ability to set priorities and meet deadlines in a fast-paced environment.

• Detail-oriented, punctual, and proactive with a professional demeanor.

• Strong ability to manage multiple assignments simultaneously.
