Part Time Executive Assistant Position
Hours: 20-25 hours per week
Compensation: $18-$25 per hour (based on qualifications and experience)

We are seeking a highly organized and detail-oriented Part-Time Executive Assistant to support our management partners in administrative and operational functions. The ideal candidate is proactive, resourceful, and capable of managing multiple tasks efficiently in a fast-paced environment.

Key Responsibilities:

  • Licensing & Compliance: Maintain and organize all necessary business and professional licenses for each location, ensuring timely renewals and compliance with regulations.
  • Supply Management: Oversee inventory and ordering of medical and office supplies to ensure each location remains fully stocked.
  • Bill Management: Handle invoice processing, bill payments, and expense tracking for the business.
  • Administrative Support: Assist management partners with various administrative tasks, including scheduling, document organization, and correspondence.
  • Operational Coordination: Act as a point of contact for vendors and service providers, ensuring smooth operations across locations.
  • Record Keeping: Maintain organized digital and physical records of financial documents, contracts, and operational reports.
  • Other Duties as Assigned: Provide additional support as needed to ensure efficient business operations.

Qualifications:

  • Prior experience in an administrative or executive assistant role (preferably in the med spa, healthcare, or wellness industry).
  • Strong organizational skills with attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
  • Experience with QuickBooks or similar accounting software is a plus.
  • Ability to manage multiple projects and prioritize tasks effectively.
  • Excellent communication and problem-solving skills.
  • Ability to work independently while maintaining strong collaboration with management.
