Job Description

Commercial Litigation Legal Secretary Location Newark, NJ (Central Business District area) : Our client, a well-regarded law firm with offices in NYC and NJ, seeks to hire a Commercial Litigation Legal Secretary to work on-site in their Newark, NJ office. Primary hours will be Monday through Friday, with availability to work overtime as needed. Responsibilities:
  • Performing daily administrative tasks;
  • Answering, screening telephone calls, and taking messages for attorneys;
  • Editing and revising documents;
  • Assisting with document conversion and cleaning up documents; creating and revising legal documents adhering to Firm styles and guidelines;
  • Court filings through the E-filing system for both Federal Court and State Court;
  • Creating and editing Tables of Authorities and Tables of Contents;
  • Entering and editing attorney time entries;
  • Filling out expense reports;
  • Filing documents in case files;
  • Preparing outgoing mail and sorting incoming mail;
  • Performing day to day duties of department secretary.
  • Skills Required:
    • Strong secretarial organizational skills;
    • Extraordinary attention to detail;
    • Excellent communication and interpersonal skills;
    • Ability to work independently and complete a high volume of work in a timely manner;
    • Ability to multitask and prioritize assignments while consistently delivering quality work product to both attorneys and clients;
    • Proven experience performing under pressure in a fast paced environment, both individually and within a team setting;
    • Proficiency with Microsoft Office 365, iManage Document Management System, Kofax, Best Authority, Aderant, Litera Compare, Big Hand Dictation System and Compulaw;
    • Positive attitude, ability to interact well with all support staff, professional staff and clients;
    • Holds a current Notary Public commission or will acquire a Notary within the first 6 months of employment;
    • Professional demeanor and appearance.
    Education and Experience
    • Min 10 years litigation exp
    • Minimum HS diploma
    Compensation & Benefits: $65,000 - $85,000 per year. Competitive benefits offered. Pay Rate will be based on several factors, including but not limited to: Area of expertise, years of experience, industry experience, and work location.
