POSITION PURPOSE:
Bloomington Eye Institute (BEI) is seeking a highly engaged, detail-oriented, and proactive Clinical Manager to lead our clinical operations in collaboration with the facility Director. This role requires a strong, organized, and reliable nurse leader who thrives in a fast-paced surgical environment, communicates effectively, and takes initiative without waiting to be asked. The Clinical Manager will oversee clinical operations, staffing, scheduling coordination, infection control and occupational health responsibilities, while also serving as a hands-on leader who is ready to step onto the floor when needed. This individual must be responsive to call-ins, maintain consistent communication across departments, and ensure clinical excellence and regulatory compliance within our ophthalmology ASC.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
- Clinical Leadership, Management & Daily Operations
- Provides visible leadership during peak hours and serves as a consistent, reliable resource to the team.
- Plans, organizes, and supervises clinical services in accordance with ASC standards, regulations, and BEI policies.
- Makes daily staff assignments with attention to competencies, case complexity, anesthesia type, and workflow needs.
- Works on the clinical floor as needed, providing direct patient care and hands-on support to the team.
- Responds immediately to call-ins and adjusts the schedule in real time to maintain safe staffing.
- Troubleshoots equipment issues and coordinates repairs.
- Ensures communication of workflow, schedule changes, and updates to staff, providers, and Director in a timely and professional manner.
- Creates and publishes monthly schedules at least 30 days in advance; adjusts staffing based on case needs, skill levels, and call-offs.
- Approves timecards, tracks attendance, and ensures compliance with HR policies.
- Conducts interviews, assists with hiring, and facilitates onboarding and orientation.
- Maintains personnel and health binders, ensuring all forms, credentials, and checklists remain current.
- Supports conflict resolution, coaching conversations, and staff development.
- Regulatory Compliance
- Ensures facility-wide compliance with IDPH, CMS, AORN, OSHA, and ASC-specific regulations.
- Conducts audits, manages quality improvement initiatives, and supports survey readiness.
- Reviews and updates policies annually or as required.
- Supports reporting for CMS, NHSN, and other regulatory bodies as required.
- Tracks mandatory annual education, competencies, licenses, and certifications.
- Operational Efficiency
- Ensures clinical staff are cross-trained to assist in multiple roles, including pre-op, OR, and post-op areas.
- Assists on the surgical floor as needed, supporting the clinical team during peak times.
- Must be proficient in the use of equipment and instrumentation at Bloomington Eye Institute.
- Ensures optimal use of staff, equipment, and supplies to control costs.
- Manages inventory and ordering of clinical supplies and equipment.
- Identifies workflow gaps and leads process improvements.
- Utilizes electronic systems with proficiency.
- Communication
- Collaborates with surgeons and other team members to ensure the delivery of high-quality patient care.
- Promotes a welcoming and patient-centered environment.
- Maintains strong ongoing communication with the Director, scheduling team, clinical staff, surgeons, and administrative team.
- Serves as the first point of contact for staff questions, operational issues, and day-of concerns.
- Ensures accurate and timely daily assignment sheets, monthly schedules, and staff updates.
- Communicates schedule changes as soon as they are confirmed.
- Models professionalism and maintains a calm, solutions-focused attitude under pressure.
- Ensures consistent email monitoring and timely response to all operational needs.
- Financial Management
- Effectively and efficiently utilizes resources to minimize costs to patients and the surgery center.
- Assists in ensuring appropriate staffing levels and coordinates/assigns staff work schedules and daily surgical schedules to appropriate care cases.
- Monitors and analyzes clinical data, identifies areas for improvement, and implements quality improvement initiatives as needed.
- Manages inventory and ordering of clinical supplies and equipment.
- Maintains knowledge of current trends and best practices in healthcare and makes recommendations for process improvements.
- Other Responsibilities
- Collaborates with Human Resources regarding recruitment and retention processes.
- Ensures compliance with HIPAA regulations and maintains patient confidentiality.
- Other duties as assigned by the ASC Director.
- Infection Control & Occupational Health (Required Skills)
- Assists in maintaining and updating the Infection Control Program and annual IC manual.
- Runs Vision EHR infection/complication reports and supports providers’ quality tracking.
- Supports OSHA, employee exposure reporting, and annual risk assessments.
- Coordinates with Occupational Health (Carle/OSF) for new hire onboarding, incident reporting, vaccinations, TB testing, fit testing, etc.
- Ensures all required annual staff training, vaccination documentation, and competencies are completed and filed.
MINIMUM JOB REQUIREMENTS (Education, Experience, Skills):
* Licensure & Certification:
- Active Illinois RN license required.
- BLS required; ACLS and PALS preferred.
* Experience & Skills:
- Minimum 5 years of RN experience in OR or ASC setting (ophthalmology strongly preferred).
- Clinical leadership or management experience in a surgical setting required.
- Strong understanding of ASC regulatory requirements and best practices.
- Demonstrated attention to detail, follow-through, and strong organizational skills.
- Must be a proactive, forward-thinking leader who acts quickly and communicates clearly.
- Ability to multitask, prioritize, and maintain professionalism under pressure.
- Strong interpersonal skills and ability to build trust and rapport across all roles.
- Must be reliable, accountable, and consistent with communication and expectations.
- Infection Control & Occupation Health knowledge required.
PHYSICAL DEMANDS & WORK ENVIRONMENT:
- Must be able to stand for extended periods and assist with patient positioning when necessary.
- Push and/or pull carts, recliners, and/or wheelchairs weighing in excess of 200 pounds on an hourly basis on level surfaces and/or inclines.
- Lift and/or carry objects weighing up to 50 pounds on an hourly basis.
- Squat, kneel, reach, grab with arms and hands, and utilize manual dexterity continuously.
- Use a keyboard and video display terminal to enter, retrieve, and transform words or data.
- Sufficient auditory and visual acuity, including color vision and depth perception, to interact with and/or care for others.
- Work is performed in a temperature-controlled surgical environment.
- Normal patient care environment with little exposure to excessive noise, dust, temperature, etc. Occasional wet surfaces.
- Exposure to potentially hazardous substances such as toxic chemicals, bloodborne pathogens, and infectious microorganisms.
- Infection exposure risk level is a Category 1, high-risk area. Position has required duties that involve exposure to blood, bodily fluids, or tissue.
COMPENSATION:
* Salary Range: $85,000 - $98,682.36, based on experience, skills, and qualifications.
