Description

Assist with leading the day-to-day operations of the bookstore. Perform the duties of purchasing, receiving, pricing, stocking, and selling textbooks and merchandise in accordance with established WCTC Bookstore procedures and guidelines. This work requires accurate judgment, discretion, and knowledge of retail sales and bookstore operations.

Characteristic Duties and Responsibilities (include, but not limited to)

ESSENTIAL DUTIES AND RESPONSIBILITIES: 1. Lead the day-to-day operations of the bookstore. Assist with hiring of student workers. Provide work direction and train Bookstore Sales Specialist and student workers. 2. Source, purchase, calculate prices, monitor sales, and maintain inventory such as: textbooks, trade books, general books. Monitor inventory and enrollment levels to place supplemental orders. 3. Assures accuracy of all orders by developing merchandise procedures for Bookstore Technicians to monitor condition and quantity of items during the receiving process. 4. Assists Bookstore Sales Specialist in maintain vendor information in database, including remit information to ensure accuracy for returns, invoices, and ordering. 5. Process orders, invoices, payments, returns and shipping details. Prepare monthly reports and statements. Serve as liaison between the bookstore, financial accounting, and vendors to resolve problems or questions with orders, invoices, or related matters. 6. Establish superior customer service practices and work with Bookstore staff to ensure these practices are met. Assist customers through cash register operation, answering phones, and solving escalating customer problems or complaints. 7. Lead activities related to pricing, stocking, shipping, and receiving of textbooks, other course materials, and merchandise. Prepare merchandise for storefront, process daily receiving information such as credit memos and invoices. Assist in the planning and implementation of promotional sales, displays, and events. 8. Maintain inventory control which includes purchasing, pricing, receiving, merchandise turns, returns, markdowns, inventory software system, and oversee and assist in the annual physical inventory. 9. Collaborate internally with key instructional departments to identify the changing needs of students for and determine the most economical way to meet those needs. Collaborate externally with key vendors to evaluate, negotiate, and approve purchasing. 10. Participate in and contribute to assignments and special projects of a similar nature and level. Maintain current professional/ technical knowledge through professional education and activities. 11. Participates in loss prevention activities to include research and investigation of problematic issues and fraud. 12. Perform activities in preparation for closing/opening the store including counting cash register tills and preparing deposits, printing reports reflecting daily sales, investigating, and reconciling discrepancies and placing cash drawer into safe and securing doors. 13. Acts as main support for the Textbook Buyback program by conducting staff training, monitoring buyback, assisting with set-up, providing cash drawers, and assists with proper recording of required cash processes.

Minimum Qualifications

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of retail buying, sales and marketing principles.
  • Knowledge and skill in performing mathematical calculations such as fractions and percentages.
  • Knowledge of microcomputers including word processing and spreadsheet applications, and Internet functions.
  • Familiarity with inventory and stocking procedures.
  • Familiarity with basic bookkeeping.
  • Effective interpersonal communication skills - oral, written and listening.
  • Ability to manage time and organize work.
  • Ability to prioritize work and adapt to changing priorities.
  • Ability to work effectively with other employees, students, vendors, and the public.
  • Ability to train and lead the work of other employees.
  • Ability to operate equipment such as cash register and calculator.
  • Ability to attend closely to detailed work, completing and maintaining a high level of accuracy.
EDUCATIONAL AND EXPERIENCE REQUIREMENTS:
  • Associate Degree or High school diploma with 5-7 years of retail experience with progressive responsibility.
  • Three years of related experience, in a retail environment with progressive responsibility.
  • Prior experience as lead worker preferred.

Supplemental Information

The Bookstore Specialist assists with leading the day-to-day operations of the bookstore and is available to start on/or before April 1st. This is a fulltime position. Typical hours will be Monday through Friday, 8:00 a.m. to 5:00 p.m. All applicants must submit a completed application along with a current resume and cover letter.
