Administrative Assistant to the Director of Finance and Human Resources Location Goshen, IN :

The following vacancy exists in Goshen Community Schools for the 2024-25 school year:

POSITION PURPOSE: The Administrative Assistant to the Director of Finance and Human Resources provides essential administrative and clerical support to the Director and the overall department. This role assists in managing daily operations, maintaining records, coordinating communications, and ensuring the smooth functioning of finance and human resources activities within the school corporation. The ideal candidate will have strong organizational skills, attention to detail, and a high level of professionalism.

ESSENTIAL FUNCTIONS:

Administrative Support:

  • Provide direct administrative assistance to the Director of Finance and Human Resources, including managing calendars, scheduling meetings, and preparing correspondence.
  • Prepare, review, and edit reports, memos, and other documents as required.
  • Handle sensitive and confidential information with discretion.
  • Assist with drafting and distributing employee communications related to human resources or financial updates.
  • Oversees and manages the Records Destruction process.

Finance Department Support:

  • Assist with tracking and processing purchase orders, invoices, and expense reports.
  • Maintain financial records, filing systems, and databases.
  • Maintain grant records - submit grant reimbursements, assist with grant applications and modifications, and complete annual and quarterly expenditure reports as required.
  • Coordinate with vendors and staff to ensure timely payment of invoices for grant purchases.
  • Support auditing processes by gathering necessary documentation.
  • Ensure compliance with all federal grant requirements under the Elementary and Secondary Education Act (ESEA) and Education Department General Administrative Regulations (EDGAR).
  • Assist in maintaining documentation for federally funded programs, ensuring expenditures are allowable, and coordinating reporting requirements for grant-funded activities.
  • Backup to payroll.

Human Resources Support:

  • Support recruitment activities by coordinating job postings, scheduling interviews, and preparing onboarding materials.
  • Maintain and update employee records, including benefits, attendance, and training documentation.
  • Assist with employee inquiries regarding policies, benefits, and payroll.
  • Help process new hire paperwork and conduct background checks.
  • Organize and maintain personnel files in accordance with state and federal regulations.

Communications and Coordination:

  • Serve as a point of contact for the Finance and Human Resources office, answering phone calls and directing inquiries to the appropriate parties.
  • Assist in organizing and coordinating special events, such as benefit fairs and employee recognition programs.
  • Communicate with internal departments, vendors, and external agencies as needed.

Other Duties:

  • Perform other related administrative tasks and special projects as assigned by the Director.

REQUIREMENTS:

  • High School diploma or equivalent required; Associate's degree or certification in business, finance, or human resources preferred.

QUALIFICATIONS:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with financial or HR management software.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • Ability to multitask and prioritize in a fast-paced environment.
  • High degree of professionalism and confidentiality.

WORK CALENDAR: 52 weeks; 260 of days per year; 40 of hours per week
