Job Description

Administrative Assistant We are seeking a dedicated and detail-oriented Administrative Assistant to support our mission-driven work. The ideal candidate will have excellent communication skills, the ability to multi-task efficiently, and a friendly, collaborative attitude. This role requires strong organizational skills, self-motivation, and a willingness to learn. The ability to complete tasks in a timely and efficient manner is essential. Proficiency in Microsoft Office is required, and experience with Planning Center is a plus. This position reports directly to the Vice President. Preferred Qualifications & Experience:

  • Previous office administration experience
  • Strong organizational skills with attention to detail
  • Excellent phone etiquette and written communication skills
  • Proficiency in Microsoft Office (Word, Excel, Google Apps, etc.)
  • Experience with Planning Center (preferred but not required)
Key Responsibilities:
  • Welcome visitors and handle phone calls, emails, and general inquiries
  • Manage and maintain files, registrations, and records
  • Assist with special donations processing and acknowledgments
  • Proofread and collaborate with program staff on program materials
  • Coordinate and prepare materials for retreatants and program attendees
  • Maintain office equipment, supplies, and telephone systems
  • Oversee and update the master calendar for events and programs
  • Prepare reports and documentation as needed
  • Assist with mailings to parishes and donors
  • Support retreat coordinators for men's and women's retreats as needed
  • Participate in special projects and events throughout the year
