Academic & Veteran Affairs Compliance Specialist

The University of Notre Dame ( ND.jobs ) is accepting applications for a Academic & Veteran Affairs Compliance Specialist .

The Registrar office is currently looking to add an Academic & Veteran Affairs Compliance Specialist to our team. As primary Veteran Affairs School Certifying Official for the University, manage and certify VA certifications under all benefit chapters, including Post 9/11 GI Bill and Yellow Ribbon. Ensure the University remains in compliance with federal and state level VA regulations. Interpret federal regulations in order to advise University stakeholders on necessary policy changes to remain both a top veteran-friendly university and in compliance with all federal and state regulations. This position entails working with the study abroad assistant directors, deans, and departments in regard to course creation, registration and grading for over 400+ students in study abroad programs. Responsible for analyzing and writing reports using IT supported reporting tools designed for mining the data and presenting results in report format, assuring the accuracy and completeness of all reports. Providing clarification for and enforcing the University policies and guidelines. Other duties as assigned by the University Registrar.

  • Department of Veterans Affairs, Primary School Certifying Official -Communicate and assist potential and current students in completing their application for using VA educational benefits, and confirming the use of those benefits each semester. Utilize a dual certification method to submit enrollment certifications and tuition of all students using the Post 9/11 GI Bill and/or Yellow Ribbon. In addition, certify enrollment for all other VA educational and employment benefit programs (Ch. 35, Ch. 31, Ch. 1606, Ch.30). Regularly audit student course and curriculum changes, and submit amendments and adjustments, as necessary. Update VA records for student separations, probation, dismissals, and completion of programs. Work with Student Accounts and Financial Aid for billing processes. Retain records of VA payments and debts, and collaborate with appropriate offices to ensure timely processing.

  • ND Global - This position entails working with the study abroad assistant directors, deans, and departments in regard to course creation, registration, and grading for 400+ students each semester in the study abroad programs. Serve as liaison and consultant with the NDG Office. Acquire information from study abroad program directors. Interpret and enforce all academic rules regarding registration, course creation, grading, pass/fail and overload approvals, and academic honor posting. Process data for all study abroad programs. Maintain study abroad course database of host and ND course information. Train new NDG staff, Departments, Core Curriculum Committees, and Advisors on NDG eForm application.

  • Department of Veteran Affairs, Compliance - Ensure the University remains in compliance with state of Illinois and Indiana State Approving Agencies by providing annual catalog reviews of all University programs - degree seeking and non-degree. In addition, keep accurate records of all students using VA educational benefits via Onbase, to be prepared for state and federal audits. Attend regular training on new federal regulations; interpret federal regulations in order to advise University stakeholders on necessary policy changes to remain a veteran-friendly university, and ensure the University remains in compliance with federal regulations. Collaborate with peer institutions regarding military data and services.

  • Report writing - Responsible for analyzing and writing reports using IT supported reporting tools designed for mining the data and presenting results in report format. Assuring the accuracy and completeness of all reports. Create and run audits and reports on student data for a variety of campus offices. Perform error checking on validity and completeness of data displayed in reports. Understand the data sources. Discover and implement new technologies and reports to make the work more automated and auditable.

  • Provide support for the Office of the Registrar and the University as a whole. Providing clarification for and enforcing the University policies and guidelines. Other Registrar duties as assigned.




Minimum Qualifications:

  • Bachelors degree
  • Highly organized, motivated, self-directing, ability to multi-task and prioritize, communicate effectively orally and in writing, work independently and as a team, knowledge of databases using query tools and applications, knowledge of University database, ability to adapt and integrate changing and developing technologies, proficient understanding of federal laws such as Isakson and Roe, Colmery Act, FERPA and SEVIS and ability to interpret them, ability to work under tight deadlines, effectively manage and oversee group projects




Preferred Qualifications:

  • Experience within an area of student services/student records a plus. Previous management or leadership skills
  • Banner knowledge a plus or the ability to acquire the skills in the Universitys Banner system
  • Knowledge and creation of SQL along with report writing tools such as Business Objects, MS Access, Crystal Reports, Tableau, or InfoMaker
